Use the product version, batch and documented sample arrangements to organise a complaint review without guessing its cause.
Record the product, specification, batch, date marking, purchase channel, receipt date and complaint description. Retain original pack photographs where available.
Keep observations separate from conclusions. “Clumping observed” is a record; attributing it to transport moisture before investigation is an assumption. List missing information explicitly.
Find applicable formula, material, packaging, test and delivery records. Confirm that they cover the same product revision and separate multiple batches when necessary.
Relevant personnel should decide whether retained samples, other samples or packaging records need review. A retained sample does not itself complete an investigation and needs identity and storage documentation.

Record opening, storage, transport and observation conditions during comparisons. An unopened retained unit and an opened customer unit may have different histories. Appearance alone may not settle the cause.
Define the question, sample and parameters before testing. Refer discomfort or safety concerns through the appropriate procedure and responsible personnel instead of substituting routine customer-service speculation.
Keep confirmed facts, investigation steps, conclusions, actions and reply revisions. Record an unresolved cause honestly and retain updates when new evidence arrives.
The FDA GMP guide offers US background on records and quality operations, not a universal complaints procedure. Actual retention, review and response arrangements depend on the product, roles and market.
