Beyond a Scannable Label: Barcodes, Batch Codes and Date Checks

A successful scan is one check. Review product identification, batch traceability, date content and print placement as separate parts of label approval.

Define the purpose of each field

Mark product identification, internal material codes, batch codes and dates on the artwork. Specify who supplies each field and when it is printed. Different codes should not be assumed to answer the same question.

This is a project checklist, not a barcode encoding standard. FDA’s dietary supplement CGMP guide provides US packaging and labeling record context. Destination, channel and code requirements need separate confirmation.

Check the data after a successful scan

After a successful scan, confirm that the displayed or associated information matches the intended product, specification and packaging version. Where cartons and individual packs have separate identities, check their relationship to internal records.

Scanning does not automatically verify the formula, ingredient wording or translations. Keep the sample reference, date and result as one part of approval evidence rather than treating it as approval of the entire label.

Connect batch and date fields to their sources

Check the batch code against the production or packaging record, and the date against its source and approved expression. A plausible-looking number format does not establish agreement with the actual batch information.

Reserve the actual print area and check clarity, overlap with graphics and readability after handling. The project should define assessment methods and sample scope for the selected materials and printing process.

Handover the approved version

Provide product data, batch and date field rules, approved artwork and inspection results to the relevant operation. When size, material or printing changes, identify what needs to be checked again.

The handover should allow another person to identify the version used and who reviewed it. Appearance, readability, content accuracy and traceability each have a role; passing one does not eliminate the other checks.
