Supplement Ingredient Allergen Documentation: A Procurement Checklist

Allergen documentation needs more than a yes-or-no answer. Connect ingredient sources, full compositions, manufacturing information and document versions for a clearer OEM review.

1. Start with the destination market

State the target markets and intended label languages in the procurement brief. Do not assume that one national checklist can serve every market. For multiple destinations, identify who will review the applicable information and wording.

For example, FDA allergen information describes nine major food allergens recognised by US law. This is US context, not an exhaustive worldwide list, and it does not establish that other materials cannot cause reactions.

2. Request sources and full compositions

For proteins, collagen, flavours, blends and carrier-containing materials, request source and composition information sufficient to identify the actual material. “Collagen” alone does not explain its source. Review carriers and other constituents as well as the headline ingredient.

Link each supplier statement to the item, manufacturing source and specification version. Mark information that has not been obtained as unresolved. An empty field should not silently become a declaration of absence.

3. Distinguish composition from cross-contact questions

Intentional inclusion and unintended contact during supply or manufacture are different questions. Ask about the manufacturing locations covered by the statement, shared equipment and relevant controls, then involve the appropriate quality reviewer.

Do not turn a procurement form alone into a consumer-facing “free from” or precautionary statement. Review supplier documents together with the full formula and manufacturing information before approving wording. Unresolved information should remain visible to the decision-maker.

4. Keep the evidence tied to a version

Track SKU, ingredient, supplier, source, document date and revision, intended markets, open questions and reviewer. Make missing documents and statements needing clarification easy to identify. A concise register is more useful than an unindexed folder of declarations.

Revisit the documentation and labels when the supplier, source, formula or manufacturing arrangement changes. Do not keep copying an old absence statement onto a revised product without review. The checklist supports coordination; it does not replace product- and market-specific professional assessment.
